Applications are invited to fill a vacancy within the British Embassy, Riyadh. The position is Personal Assistant to HM Ambassador to the Kingdom of Saudi Arabia. This position will only be available to holders of Saudi residence permits or transferable iqamas and for whom security clearance can be granted (UK, other EU, US, Australian, Canadian or New Zealand nationals).

To provide first-class secretarial and administrative support to the Ambassador: effective organisation and management of the day-to-day running of the Ambassador’s office, delegation of correspondence/invitations etc where appropriate and ensuring the smooth operation of HMA’s workload and office.

The main duties and responsibilities of the jobholder include:

• Organise and maintain HMA’s diary, including setting up meetings, appointments and travel. Production and distribution of daily and forward programmes.

• Liaison with all other Embassy sections. Co-ordinate and organise HMA’s regional and UK visits. Request and ensure relevant paperwork and briefing available in good time.

• Organisation of incoming and outgoing visitor programmes.

• Co-ordination of preparation for events.

• Typing of all HMA correspondence, from audio and manuscript (shorthand a plus, but not a necessity). Formatting of drafts and other documents, copying, despatch and electronic registering.

• Drafting of correspondence.

• Dealing with telephone enquiries, mail, invitations, letters and requests, including occasional out-of-hours calls by mobile phone.

• Management of HMA’s office during absences – delegation of correspondence as appropriate, holding replies and papers organised for return.

Applications

The salary will be dependent on experience and will be in the range of SAR9,187.50 – SAR13,775 per month including housing/recruitment and retention allowance. A pro-rata Eid bonus will be payable. An additional travel allowance of SAR400 may also be payable. The job is subject to security clearance.

Applications must be submitted by the end of Wednesday 16 November. Interviews will take place soon afterwards.

 Establish the business targets of the department and actively contribute to the development of the departmental performance management system.

 Oversee and direct the contracts and procurement activity for all THE COMPANY projects and participate in project planning and monitoring meetings to ensure the contracts and procurement activity is completed in accordance with THE COMPANY standards, project plans, and with no delay.

 Monitor the procurement pre-tender stage and work closely with departments to formulate tender documents.

 Lead the tendering and selection process per the company’s financial policies and procedures and any Management Tendering Committee guidelines, ensuring that all project requirements and specifications are provided cost effectively and safely, with the required quality.

 Participate in the Management Tender Committee meetings, to ensure compliance with corporate and governmental rules and regulations.

 Oversee the development of standard templates for major tendering processes to guarantee consistency and standardization.

 Lead the contract drafting and negotiations process with the successful bidder and manage and review the preparation of the final contract for signature as per company policy.

 Develop, implement and oversee contract administration and management processes to monitor and manage contract compliance control for all contracts (e.g. Supplier/Consultant/Construction contracts, Operations and Maintenance contracts, Land Sale contracts, etc.).

 Develop, implement and integrate contract management tools and templates to achieve greater efficiency and effectiveness.

 Ensure the management, monitoring and follow up of the execution of all contracts/agreements as per their respective terms and conditions, including all contract maintenance activities like variation orders, change requests, renewals.

 Review vendors’ performance evaluations and contract renewal requests to secure the provision of the best quality services from vendors.

 Develop tools, systems and procedures to evaluate the performance and the price/cost of goods and services procured by THE COMPANY to ensure the selection of the best vendors in terms of performance and cost.

 Review Purchase Orders in order to ensure they are complete and accurate and to grant approval.

- Undertake the management and coordination of the day to day administrative and operational functions of the Department.

- Undertake the performance of basic legal tasks.

- Provide support in an efficient and effective manner and works autonomously as required.

Duties and Tasks:

• Draft of assist in the drafting and amendment of letters, basic legal documents and correspondence.

• Familiar with a multitude of different legal documents with the ability to perform a basic review of such documents for content and accuracy.

• Assist in the preparation and finalization of legal documentation relating to the different transactions and contractual relations.

• Conduct researches and data compilation for specific legal and factual information.

• Manage the HL’s workload by screening all incoming legal requests, summarising where necessary and prioritising accordingly, liaising and coordinating with the different business units in this respect.

• Liaising/coordinating the processes for legalisation of documents, incorporations, etc for the Legal Department.

• Following up on essential legal processes (i.e. Trade Mark / IP registration, commercial licenses, etc) and assist with routine inquiries.

• Coordination of all engagement letters with external business partners, review and processing of invoices in conjunction with the concerned department.

• Liaise with external legal firms for finalisation of contract documentation.

• Organise and maintain an efficient document management system and control records for legal documents used, created and reviewed by the Legal Department.

• Maintain a system for safe retention and retrieval of original documents.

• Maintain and update an e-library of standard forms and templates.

• Responsible for maintaining and updating the legal library with current tests and journals and ensuring renewals of relevant subscriptions, etc.

• Perform general office administration: Maintain and keep in good order all equipment; ensure appropriate and essential stationery to hand.

• Handle confidential material and ensure that the code of confidentiality is kept at all times.
