SUMMARY

The Warehouse and Logistic Manager is responsible for all outbound and inbound shipments and for the smooth and efficient running of the Warehouse and store/home delivery service including QC.

PRIMARY RESPONSIBILITIES

Logistic

• To negotiate with shipping companies to ensure best pricing on shipping of merchandise.

• To monitor inbound and outbound shipments and ensure timely departure and arrival.

• To ensure most cost effective use of space/route and transportation method is chosen based on business requirements.

• Communicate with suppliers to ensure proper import documentation is received

• Coordinate with customs clearance broker for collecting documents and inbound shipping information.

Warehousing

• Process inbound and outbound shipments as per warehouse stock management system and ensure inventory is updated correctly.

• Identify any supplier shipment stock anomalies and report to Merchandise Manager accordingly.

• Arrange merchandise in order to ensure maximum utilization of space.

• Ensure merchandise stocking is done with clear visibility and easy to pick.

• Keep accurate records of all stock movements for proper inventory control.

• Ensure QC inspection is carried out on supplier’s shipments as they arrive (i.e.: opening boxes, checking each item to a list of criteria and technical specification), assessing damage and risk.

• Ensure a detailed weekly report is completed and submitted to the Merchandise Manager identifying all damages and possible causes.

• Responsible for processing supplier claim based on QC reports and as instructed by Merchandise Manager.

• Responsible for ordering and tracking required furniture spare parts.

Store & Home Delivery

• Verify home delivery schedule and ensure driver plans most efficient route.

• Ensure customers are contacted 24 hours prior to the deliver to confirm arrival time and location details.

• Ensure all goods are picked and loaded /offloaded carefully to avoid damages.

• Ensure both store and home deliveries are carried out within the given time frame and monitor and correct deviations as and when necessary.

• Ensuring that each home delivery is inspected prior to being sent to the customer.

• Ensure all upholstery furniture is unwrapped upon delivery and placed in the location as required by the customers and all packaging is removed upon leaving the premises.

• Ensure the customer checks the product and if satisfied sign the delivery note accordingly. (Should an item found to be damaged whilst being delivered the delivery driver should contact the Store Manager whom will in turn deal with the customer directly).

Operation

• Responsible for the correct and systematic data entry process.

• Conduct full Warehouse inventory and spot checks as and when required
.

• Apply best industry practices in the safe handling of stock to minimize damages and prevent shrinkage both of goods and assets.

• Ensure all company assets are properly used and maintained and take corrective measure when required.

• Generate and maintain MIS and other related reports. 


• Implement safety and security procedures and maintain the entire Warehouse area clean, neat and tidy. 



• Provide Warehouse’s needs in terms of space and people as per when required.

ADDITIONAL RESPONSIBILITIES

• Maintain positive working relationships within colleagues, superiors and subordinates 



• Organize and prioritize daily work activities and manpower requirement. 



• Participate in hiring, training and motivating the entire Warehouse team. 


• Oversee and supervise daily warehouse operations including coordination of work between internal and external personnel. 



• Maintain highest disciplinary standards among the employees 



• Participate to HO training activities as per business training program.

• Participate to HO meeting as required by General Manager.

Lead and manage the opportunity identification function, inclusive of the evaluation of business cases / basic feasibility studies and related market analyses and investment structuring; develop and evaluate joint venture/revenue sharing models; actively identify the opportunities, constraints, and resources available to improve the economic and financial condition of KAUST, and unlock dormant opportunities that will enhance the university and generate revenue.

Major Responsibilities:

• Promote and attract business opportunities within KAUST facilities, community, and properties with purpose to generate long term steady stream of revenue.

• Lead the screening process to identify and adopt investment opportunities in coordination with key stakeholders, and departments within Kaust facilities community and properties (in order to generate a long-tern continuous revenue stream)

• Function as a university-wide facilitator, focused on reducing the costs of existing investments and businesses and restructuring existing and/or creating new businesses

• Lead all phases of the Business Opportunity/Identification function (within KAUST) – from the Business Concept Identification, to developing a Business Case, to conducting a Business Feasibility, to structuring and packaging the investment opportunity.

• Manage the evaluation of underperforming Businesses and lead the way in developing and implementing a case to improve the business/operation

• Develop and follow a clear approval process and gated review mechanism at major milestone achievement while promoting or structuring the investment opportunities.

• Engage and work with outside professional consultant and service providers in support of the projects under development within the university’s mission and strategic plans.

• Manage the Market Analysis function within the university community, facilities and properties, in the context of the surrounding local, and regional markets (and related developments)

• Assess the ongoing investment opportunities, and operation of businesses, within the university’s facilities, community and property and develop a case to improve a business’ operation and/or generate additional revenue

• Enhance procedures/guidelines and establish a best in class processes (continuous improvement)

• In partnership with internal and external stakeholders, assess and address opportunities for new business development at KAUST, and document strategic and operational measures designed to improve KAUST’s capacity to generate resources through diverse activities that are consistent with the university’s vision and mission.

• To create a strategically focused action plan comprising potential projects and activities that foster mutually beneficial relationships with commercial and other external organizations that KAUST may implement to increase and diversify income and reduce dependence on trust funds and other current sources of funds.

• Develop and lead young local talent to the best in class financial analysis skill, Business acumen, and negotiation strategy to support to the Business Development function.

• Performs other Business Development function related duties as required.

MISSION

To negotiate and to manage the contracts and agreements with the suppliers and the sub-contractors.

To prospect new suppliers in order to reduce the costs, the time deliveries and the stock value.

MAIN FUNCTIONS AND DUTIES

1. To gather reliable suppliers for mass manufacturing and the design of new products.

2. To negotiate and to evaluate the suppliers and the sub-contractors for the existing and the new products.

3. To prospect new suppliers in order to reduce the costs, the time deliveries and the stock inventory while preserving the quality objectives of GPE.

4. To negotiate all the new equipments and services for the company.

5. To follow directly the purchasing of strategic material as investments and machines.

6. To assist the technical department for the research of new products, materials and manufacturing technologies, able to provide better quality, reliability and cost for existing or new products.

7. To participate to the expenses reduction targets by searching and implementing new opportunities of cost for products and services.

8. To assist procurement team in order to solve all problems with qualified suppliers for the direct manufacturing material (metal, powder, components), indirect materials (tools, spare parts, packing, pallets, consumables, furniture’s…) and services.

9. To check the financial situation of strategic suppliers and to consider this data as a key point for supplier’s yearly evaluation.

10. To follow-up the quality and the service rate of the suppliers with the Quality and supply chain departments.

11. To assist finances department in order to solve all problems linked to delayed payments or Non-Quality fees issues.

12. To put under contract the relations with strategic suppliers.

13. To follow KPIs in accordance to strategic targets given by the managing director and to feed him back with monthly reports as, per instance :

* monthly turnover by suppliers and families of products

* monthly pricing evolution, gains or losses, and justifications

* monthly service rate and suppliers’ classification

* monthly quality rate and suppliers’ classification

* supplying lead-time evolution

* payment-terms evolution and financial gains/losses

* etc… ( to be defined )

14. To ensure that the ERP is updated at any time with the last negotiated conditions with suppliers, as :

* price list

* lot size

* procurement lead-time

* payment conditions

* packaging parameters

* incoterm conditions

* etc…

15. To negociate and to follow the selling of all scrap products ( metal, wood, cartons…etc… )

16. To organize and to manage the purchasing department, to motivate the purchasing team;

17. To participate to continuous improvement projects with all other departments and to follow purchasing action plans.

18. To ensure a good team spirit with other departments and managers, for GPE’s benefit.
